Replication Order - The Checklist

Placing an order
|
- Get a quote
If you have not done so, use the Quotes form, call or email to be contacted with a price quote.
- Submit what you have first
Under most cases, the disc replication takes up most of the turnaround time, while printing and packaging takes up less time and can happen concurrently. Therefore, you can certainly let us work on the master first, while the packaging design is still being finalized. This will speed things up especially if you are working under a deadline.
- Request an official invoice
When you are ready to place the order, let your sales representative know and you will be sent an official invoice.

What to submit
|

Preparing the Master
|
- Review master before sending
Review the master all the way through. The way the disc plays and the content will be the same on the replicated or duplicated discs. So sign off on your master before sending.
- Forms of master
Acceptable forms of master: CD-R, DVD-R and DLT, mastered submitted as data files or as tapes might subject to additional transfer or conversion fees.
- High quality media for your master
Use high quality media, a name brand preferrably and use low speed when burning. It is the best way to avoid read errors.
- For DVD-9 projects
DL DVD-R or DLT (Digital Linear Tape) master can be submitted
- Copy Protection
For all types of copy protection, a DLT (Digital Linear Tape) must be submitted
- Keep a copy of the master
DO NOT send us your only copy, always keep a backup with you so that if something happens to the master during shipping, you won't be losing your only copy

Preparing Artwork
|
- Use a template
Prepare artwork using our templates. If the artwork is already in another company's template, the size might differ slightly but not by much. If we find a problem you will be notified.
- Artwork specification
- Image must be at least 300dpi
- Image must be saved in CMYK mode
- Accepted formats are .psd,.tiff,.indd,.pdf,.eps,.ai,.qxd,.jpg
- Text must be outlined if created by illustrator
- When sending quark files, compressed all source files and fonts with Stuffit
- Sending the artwork
- Spell check and review artwork carefully
Check your artwork very carefully before submission. Any changes needed after proofs are generated will delay production time. The first proof is FREE of charge, and each additional proof is $40.
- Review proofs
A digital proof will be sent to for approval. Hard copy proofs are also available for additional fee upon request.

Art Proofs and Check Discs
|
- Digital Proofs
Customers will be sent digital proofs via email for final approval. Printing will start upon approval. No color matching or layout warranty with digial proof. You MUST have reliable art files. Warranty only comes from defect of workmanship.

See our artwork approval guidelines for information The first digital proof is FREE. Afterwards each new digital proof is $40 for additional graphic time.
- Gang Run
Hellman Production uses 'Gang Runs' on all booklets/trays/cardboard products. It means your project is printed along with other projects at the press. This is commonly used in our industry for the most cost-effective solution for our customers. Colors cannot be matched exactly since it will be running along with other jobs. Hellman Production reserves the right to a plus or minus 5% deviations on all printing plates.
For customers that demand accurate colors we recommend using PMS colors and running their jobs on their own, these options cost extra but it allows the maximum control of the printed products.
- Hard Copy Proofs
Hard copy proofs are also available upon requests, please check with your account representative
- Content Check Discs
Check discs are replicated discs made from stampers based on supplied DVD-R or DLT masters. They are recommended for first time customers and DVD-9 titles
- Generating a check disc and the approval process will add 7-10 days to production cycle

Payment
|
- Payment required for job to start
All payment or 50% deposit is due up front prior to start of production, balance is due prior to shipping out final product
- We accept check, money order, cash, Visa, Mastercard and American Express.
We accept all types of payment if order is prepaid. Only check is accepted for customers on terms.
- If paying by credit card, fill out a credit card authorization form and return it by fax
- If the products are for resale, please make sure we have your resale certificate on file. Otherwise sales tax will be charged

Shipping Policy
|
- Shipping costs apply except for specials with free shipping
- Turnaround time quoted does not include shipping
- We ship UPS, Fedex, and local trucking companies. Special shipping requests need to be arranged in advance

Finally
|
- Estimate project finish date is subject to change due to receipt of payment, master material and approval of artwork
- And last but not least, at any point you have any questions, our staff will be happy to help!
